What they’re for
- Groups are named sets of users, used as the audience for campaigns (both training and phishing).
- Departments mirror the company’s structure, support hierarchy and have responsible managers. They also serve as an audience and feed the by-area breakdowns in reports.
Groups
In Groups (/groups):
- Create: give it a name (unique within the tenant) and a description, and optionally add members right away.
- Members can be added or removed at any time. The relationship is kept on both sides: the group knows its members, and each user knows their groups.
- To use a group, choose “Groups” as the audience when creating a campaign, then select the groups you want.
Removing a group undoes the link on the users (it doesn’t delete anyone).
Departments
In Departments (/departments):
- Create or edit: set a name (unique within the tenant), a parent department for hierarchy, and the managers responsible for it.
- Hierarchy is built from the “parent” field. The platform prevents cycles, so a department cannot be an ancestor of itself, and it requires the parent to exist in the same tenant.
- Remove is blocked if the department has children. Remove or reassign the children first.
With a Departments audience, the campaign matches by the department name in the user's record. Keep the users' department field consistent with the names registered here.
